PTO Board Positions:
_____President: The President presides at all PTO Board and General Membership meetings. The President also coordinates the work of and maintains close communication with all officers and committees and will serve as an ex-officio member of all committees. The President will act as a liaison between the Principal and the PTO. The President is encouraged to attend VIPs Council monthly meetings. It is requested that all nominees for this position to have been on the PTO Board for a least one year prior to nomination.
_____1st Vice President of Membership: The 5th VP is in charge of Membership which includes a membership drive and publication of a Membership Directory. The 1th VP will need to be familiar with and have access to word processing and spreadsheet computer applications in order to do this job effectively. Good organization skills are a must.
_____2nd Vice President of Major Fundraising: The 2nd VP is in charge of Major Fundraising which includes Fundraising and Special Activities committees. The 2nd VP is responsible for producing two fundraising events each year. Typically one in the fall and one in the spring. This may include procuring fundraiser vendors, be responsible for tally of orders, will receive shipment of orders, and will disperse the orders or working with event vendors for advertisement and collection of all donations. This could also include an event type fundraiser with auctions, games and concessions. Excellent and timely communication skills are a must for this position. It is recommended that all nominees have been a PTO committee chair prior to nomination.
_____3rd Vice President of Minor Fundraising: The 3rd VP is in charge of Minor Fundraising which includes oversight of the Spirit Shop, Boxtops for Education, and Spirit Night Committees. The 3rd VP will coordinate with the 2nd VP for Special Activities such as the Spring Fundraiser. Good organization and communication skills are a necessity.It is recommended that all nominees have been a PTO committee chair prior to nomination.
_____4th Vice President of Curriculum Support: The 4th VP is in charge of Curriculum Support which includes the Academic Enrichment Committee and Science Committee. The 4th VP will coordinate all curriculum support activities for the children by procuring sufficient/appropriate curriculum-based activities on-site, provide all grade levels with similar amount of activities, and coordinate chairpersons for the following committees: Art Room, Library, Junior Achievement and Science Resource Center committees. Organization and communication skills are a must.
_____5th Vice President of Homeroom Activities: The 5th VP is in charge of PTO Homeroom activities which includes Homeroom Parents, Homeroom Helpers and Field Day committees. Excellent communication skills are required. It is requested that all nominees for this position to have been a Homeroom Parent prior to nomination.
_____VIPS Coordinator: The VIPS Coordinators will focus on recruitment, retention, and recognition of all school volunteers. They shall oversee the committee chairs of the following committees: Vision and Hearing, Picture Day, and Hospitality committees. VIPS Coordinators will need internet access because they will be using the Virtual Volunteer program from the district to gather volunteers, disseminate information, and utilize volunteers. It is recommended that all nominees have excellent communication and people skills.
_____Treasurer: The Treasurer is in charge of all monies of the organization. The Treasurer must have knowledge of financial statements and is required to keep an accurate record of all receipts and expenditures. The treasurer will also be required to work with State Sales Taxes and the IRS. Knowledge of and access to Quicken or other accounting software is a must. Being a CPA is not required, but is appreciated.
_____Secretary: The Secretary shall record the minutes of all general meetings of the Organization and of the Executive Committee and handle all correspondence for the Organization. The Secretary is the editor/publisher of the monthly PTO Newsletter. Knowledge and access to a word processing program/computer are a must.
**All PTO Board Members are expected to attend one PTO Board meeting every month and will be expected to perform other such respective duties as delegated by the PTO Board.
Committee Chairperson Positions
**All Chairpersons must be willing and able to communicate with Executive Board and all committee members on a monthly basis.
____Art Room Coordinator: The Art Room Coordinator will work closely with the art teacher to organize art displays and supplies. This position reports to the 4th VP of Curriculum Support.
____Music Room Coordinator: The Music Room Coordinator will work closely with the music teacher to organize grade level music activities. This position reports to the 4th VP of Curriculum Support.
____PE Coordinator: The PE Coordinator will work closely with the PE teachers to organize grade level PE activities and any needs the teachers have. This position reports to the 4th VP of Curriculum Support.
____Boxtops for Education: The Boxtops Chairman will coordinate minor fundraising events such as Boxtops for Education, Tyson A+ Labels, and Labels for Education, Community Coffee UPCs. This position will report to the 3rd VP of Minor Fundraising.
____Field Day Coordinator: Coordinates and works with PE Teachers and PTO Board on all Field Day related activities and souvenirs. This position reports to the 5th Vice President of Homeroom Activities.
____Hospitality: Coordinates and organizes all events for recognition of teachers and staff such as Teacher Appreciation Week and monthly recognition. This position reports to the VIPS Coordinators.
____Junior Achievement: Coordinates trained JA volunteers for all grade levels. This position reports to the 4th VP of Curriculum Support.
____Library: Coordinates and works with volunteers to assist the media specialist in various aspects of the library’s operation including shelving books, filing, typing, book circulation, and book fairs. This position reports to the 3rd VP of Curriculum Support.
____Picture Day: Coordinates volunteers for all student picture days. This position will report to the VIPS Coordinators.
____Fall/Spring Fundraiser: Coordinates and works with volunteers on Spring Fundraiser related events which may include, silent auction, concessions, entertainment, volunteer coordination, ticket sales, or catalog sales and delivering product, etc. This position will report to the 2nd VP of Major Fundraising.
____School Supplies: Organizes and coordinates the bidding process, ordering, purchasing and delivery of the School Supplies ordered through the PTO. This position will also need to provide manpower for sales activities during Kindergarten Registration and orientation. This position will report to the 3rd VP of Minor Fundraising.
_____ Spirit Nights: Organizes and coordinates with local business for fundraising nights. Will promote these nights with stickers and media updates. This position will report to the 2nd VP of Major Fundraising
____ Spirit Shop: Organizes and coordinates the volunteers who work at the monthly Woodard Spirit Shop., and monitors inventory. This position will work closely with and report to the 3rd VP of Minor Fundraising.
_____ Spirit Shirts: Organizes and coordinates the designing and purchasing of shirts. They also are in charge of selling the shirts at the start of the school year. This position with work closely with and report to the 3rd VP of Minor Fundraising.
____Vision and Hearing Screening: Coordinates and works with school nurse and volunteers on all vision and hearing screening related activities. This position will report to the VIPS Coordinators.
____WATCH D.O.G.S Coordinator - Coordinates Watch D.O.G. activities. Recruits dads, leads orientation and schedules monthly visits. Also, makes weekly updates to the marquee.
____Yearbook: Coordinates and works with volunteers who do the photographing, layout, ordering, and distribution of the yearbook. This position will report to the Secretary.
____ Homeroom Parent: Coordinates with the teacher and parents in the class for activities such as parties, field day and any needs the teacher has.
____ Science Resource Center: Coordinates the volunteers that are needed to give live animal demonstrations and other hands-on activities offered by the Science Resource Center. This position will report to the VP of Curriculum Support.
____ Workroom: Coordinates and works with the volunteers in the workroom for various tasks such as die cutting, stapling booklets, sorting, and other misc. tasks. This position will report to the VP of Curriculum Support.
_____Santa Shop: Coordinates with vendor, and volunteers to make a successful shop. This position will report to the 3rd VP of Minor Fundraising.
____ 5th Grade Activities Coordinator: Helps to organize and plan the end of the year activities, shirts and events for the 5th grade. This position will report to the VP of Homeroom Activities.
